Vendor shortlists
AI search for B2B: get named on the vendor shortlist
AI search for B2B buying has turned the vendor shortlist into something an assistant drafts before your sales team hears about the deal. This page is for marketing and growth leads at software and services companies who want ChatGPT, Perplexity, Copilot and Google's AI answers to name them when a buyer asks for options. You get a measured view of the shortlists you are missing from and a plan to earn a place on them.

Quick answer
How do B2B companies get onto the vendor shortlists that AI assistants give buyers?
Winning AI search for B2B means being named when a buyer asks an assistant for vendors. Assistants tend to draw on review sites such as G2 and Capterra, third-party best-of lists and clear vendor pages on pricing, integrations and security. We find the shortlists you miss, fix the sources behind them and rerun the prompts monthly.
- Buyers increasingly meet vendors first inside an assistant's answer, then verify with reviews and demos.
- Third-party sources such as G2, Capterra and editorial roundups carry much of the weight.
- Self-ranking 'best tools' lists carry policy risk now that spam rules cover AI responses.
- Shortlist inclusion is measured by rerunning the same buyer prompts every month.

Why does AI search for B2B decide who makes the shortlist?
Because many buyers now ask an assistant for options before they open a vendor website, and the names in that first answer frame the rest of the evaluation. Gartner's May 2026 survey of 645 B2B buyers found 69% checked AI-generated insights with sales reps, which says two things at once: buyers act on the assistant's output, and they still test it.
The commercial cost is quiet. A prospect who never sees your name when asking ChatGPT for the 'best CRM for a 20-person sales team' does not appear as a lost deal in your CRM; they simply never enter the funnel. TrustRadius' 2026 buyer report adds the other half: demos, trials and reviews remain the sources buyers trust most. The assistant opens the door, and your proof has to be waiting behind it.
How do ChatGPT and Google's AI answers assemble a list of vendors?
They search, then summarize what they retrieved. Google's documentation for AI Overviews and AI Mode describes query fan-out, where the system can run several related searches across subtopics before writing an answer and showing supporting links. A prompt like 'HubSpot vs Salesforce for a startup' can therefore pull pricing pages, review profiles and comparison articles in a single pass.
OpenAI does not publish how ChatGPT ranks the sources it cites, so anyone claiming to know the formula is guessing. What can be observed is which page types get used. Ahrefs studied 750 'best X' prompts in December 2025 and found blog-style best-of lists were the most-cited page type, at 43.8% of sources.
Your own domain still needs to be reachable. ChatGPT search only surfaces pages that OAI-SearchBot is allowed to crawl, and OpenAI says robots.txt changes take about a day to apply.

Which sources shape a B2B shortlist in AI answers?
Third parties carry most of the weight, with your own fact pages filling the gaps they leave. The recurring source types are:
- Review platforms: Peec AI's March 2026 analysis lists G2 among the most-cited domains in AI search, so stale G2 and Capterra profiles cost you.
- Editorial roundups: Goodie's citation data for the CRM category puts techradar.com at the top, ahead of vendor sites.
- Professional networks and forums: LinkedIn posts and Reddit threads where practitioners compare tools in their own words.
- Services directories: for consulting and IT services, Temso found clutch.co leading most models it tested.
- Vendor pages: public pricing, integration directories, security and compliance pages, and documentation that state facts plainly.
Should you publish your own 'best tools' list?
Carefully, if at all. Ahrefs' July 2026 experiment found self-promotional pages produced most of the new AI mentions for a brand-new company but very few for an established one, where third-party content did the work. The same study saw answers cite a promotional page without recommending the brand behind it.
There is policy risk too. Search Engine Roundtable reported in May 2026 that Google's spam policies now apply to generative AI responses, and Lily Ray has reported steep drops for sites that ranked themselves first in their own lists. If a category page makes sense for you, we write it as a fair comparison with stated criteria, competitors judged on their merits and a dated update log.
What do we change to get you onto AI shortlists?
We work backward from each buyer prompt. Every prompt maps to the sources the engines cited for it, and every source becomes a decision: update it, earn it, build it or leave it alone.
- Rewrite pricing, integration and security pages so each one opens with a sentence an assistant can quote.
- Bring G2, Capterra and, for services firms, Clutch profiles current, and ask customers for reviews in line with the FTC Consumer Reviews and Testimonials Rule.
- Pitch third-party roundups with the facts editors need: category, ideal customer size, integrations and pricing model.
- Build use-case and comparison pages that answer what a buyer actually types, each with a last-updated date.
- Align Organization schema and sameAs links so your company reads as one entity across LinkedIn, review sites and your domain.
How is shortlist visibility measured?
By running the same buyer prompts on a schedule and counting who gets named. Before anything changes, we record a baseline across ChatGPT, Perplexity, Copilot, Gemini, Claude and Google's AI Overviews and AI Mode, then rerun the full set each month.
Each report shows inclusion per prompt, your position in the list, which of your URLs were cited and which competitor sources displaced you. First-party data sits beside it: Bing Webmaster Tools AI Performance for Copilot citation share, Search Console's generative AI report, and GA4 referrals from chatgpt.com, perplexity.ai and copilot.microsoft.com tied to demo requests. No one can promise a citation, so we report movement against the baseline instead of forecasting placements.

FAQ
Frequently asked questions
Do AI assistants really influence B2B software shortlists?
Yes. Surveys from Gartner, Forrester and TrustRadius all report large shares of B2B buyers using AI tools during purchases. Buyers still verify what the assistant says through reviews, demos and sales conversations, so the AI list works as the entry point rather than the final decision.
Is G2 more important than our own website for AI search?
Both matter, for different reasons. Review platforms such as G2 are among the domains AI search cites most, so they shape whether you appear at all. Your own pages decide whether the assistant describes your pricing, integrations and security correctly once you do appear.
How long before we appear in ChatGPT's vendor lists?
There is no fixed timeline. Ahrefs' 2026 experiment showed a new brand appearing in Copilot answers within a few months, but citations came and went before settling. We track progress monthly against your baseline so you can see the trend rather than one lucky answer.
Can you get us ranked first in ChatGPT's recommendations?
No one can promise a citation or a position, because OpenAI does not publish how ChatGPT ranks sources and answers vary between runs. What we can do is improve the sources engines draw on and report honestly whether your inclusion and position change.
What if a competitor's own list ranks us last?
Self-ranking lists are common in software categories. We document the prompts where that list is cited, then work to strengthen independent sources such as reviews and editorial roundups so assistants have fairer material. We do not respond with a mirror-image list of our own.
Does AI search for B2B work the same for services firms?
The mechanics are the same but the sources differ. Consulting and IT services shortlists lean on directories such as Clutch, partner bios, LinkedIn and trade press rather than G2. The prompt set and source map are built for whichever category you sell in.
